Open Administrative Positions:
Job Title: Administrative and HR Coordinator
Location: Lisbon Falls, Maine
Reports To: CEO and Fractional CFO
Job Summary:
The Administrative and HR Coordinator supports the leadership team by managing scheduling and logistics, handling payroll submissions, maintaining business certifications, and ensuring compliance with legal HR requirements. This role also includes bookkeeping responsibilities, assisting with report generation, and coordinating the hiring process. The Coordinator will report directly to the CEO and will not have any direct reports.
Schedule:
This position is expected to be a 20-30 hours a week part-time position. with the potential to develop into a fulltime 32+ hour position. Work would happen onsite during the week during 9-5 business hours however, which days and exact hours have some flexibility.
Key Responsibilities:
Scheduling and Logistics Management:
Assist the leadership team in scheduling staff and managing logistics.
Coordinate calendars and appointments for the leadership team.
Help organize and schedule company events and meetings.
Payroll Management:
Prepare and submit payroll information to an external payroll service.
Ensure accurate and timely processing of payroll.
Address payroll-related queries from employees.
Compliance and Certification:
Maintain up-to-date business certifications and licenses.
Ensure compliance with legal HR requirements and company policies.
Stay informed about changes in regulations and update company practices accordingly.
Bookkeeping:
Perform bookkeeping duties, including recording financial transactions and maintaining accurate financial records.
Assist with monthly, quarterly, and annual financial reporting.
Support the CEO in preparing financial reports and analyses.
Recruitment Support:
Coordinate the posting of open positions and manage job advertisements.
Conduct initial screening interviews and schedule in-person interviews with candidates.
Assist the leadership team in the hiring process without making final hiring decisions.
Administrative Support:
Provide administrative support to the CEO and leadership team as needed.
Handle correspondence, prepare documents, and maintain files.
Manage office supplies and equipment.
Qualifications:
Education: High school diploma or equivalent required; associate's or bachelor's degree in business administration, human resources, or related field preferred.
Experience: Minimum of 2-3 years of administrative, HR, or bookkeeping experience. Experience with Quickbooks strongly preferred.
Skills:
Strong organizational and multitasking abilities.
Proficiency in Microsoft Office Suite and accounting software.
Excellent communication and interpersonal skills.
Attention to detail and problem-solving skills.
Knowledge of HR practices and payroll processes.
Physical Requirements:
Ability to work at a desk for extended periods.
Ability to lift and carry office supplies up to 20 pounds.
Work Environment:
The work is performed in an office environment within a malt house facility.
Compensation:
Pay and hourly rate will be commensurate based on candidate skills and experience, but no less than $25 per hour. All employees are paid a living wage based on MIT’s Living Wage Calculator for Androscoggin County Maine.

What To Know
Work Description
Responsible for assisting the Maltsters and Assistant Maltsters in performing the job duties necessary for processing batches of raw grain into malt and maintaining high quality standards
Warehouse Maintenance and upkeep (keep in a tidy and orderly fashion, take out trash etc.)
Order fulfillment including pull, stage, and document orders
You must be able to perform, and be comfortable with, physical labor.
Participate in staff and team meetings
Work as part of the overall team to support other projects
Participate in occasional trainings and professional development opportunities
Other duties as required and assigned
Schedule is 5 days a week
Some Holiday work required due to the nature of the malting process
Job requirements
Attention to detail.

Ability to endure physical labor and be on your feet for periods of 2-6 hrs.
Ability to shovel grain and green malt for periods of 1-2 hrs.
Ability to lift up to 75 lbs repeatedly without injury.

Flexibility to meet adjusting work schedules.
Job duties
Performing the required duties involved in malting, cleaning, warehousing, order fulfillment, and quality control of the malt.
Duties may change depending on the season and adjusting workloads.
Malting skills taught with on-the-job training
Preferred Experience
Be over 21 years old.
Proper forklift operation.
Experience with hand and power tools.
Warehousing experience
Desire to learn about the malting industry.
Interest/passion about the craft food and beverage industry.
Malt and beer knowledge.
Compensation:
Starting Pay Range $19.50-$22.50 per hour depending on position
